Version 5 Release…

Wow what a busy summer, it just flew by, and before I knew it school was back in. Hope everyone had a good summer.

After much work and testing version 5 is ready for release. We have been testing Version 5 for about 2 months now, and think we have a very stable product. This is the largest “remodeling” of ServiceXp Pro since way back in Version 2, so for existing users this version may be a bit awkward at first, but you should get use to it pretty quickly.

Version 5 brings with it a new program engine, with this new engine the minimum OS requirements have changed. This version is only compatible with Windows XP (SP2 – SP3) and Vista (SP1).

Version 5 utilizes a new license key algorithm, therefore if you upgrade to Version 5, while still using version 4 you will trigger the LNUS( limited/no use sentry.) If you are using version 4 and would like to evaluate version 5 you must request a LNUS key BEFORE installing Version 5.

Version 5 comes with a higher price tag too, but even at 129.00 per user, ServiceXp is still a steal….:-)

The help file, the bane of my existing :-), is still being updated with the new Version 5 information.

Version 5 Sneak Preview

I hope everyone is having a great summer so far.

I have been busier than ever with Version 5. Not only does this version mark the largest GUI (Graphical User Interface) change, it also marks the complete revamping of the customer, customer equipment, and work order system.

In order to make ServiceXp Pro vista compatible, we needed to stop providing support for windows versions before WindowsXP SP2. Most users are using WindowsXP version anyway, and if you not, you really should be by now.. :-)

New & Improved Features Version 4 (build 9.11)

Doc. Link System:
Twain scanning system will now remember the “Open Document After Scanning” and “Use Auto Document Feeder” selection

Fine tuned the scanning engine in a few areas.

Graphic Scheduler
Completely changed the date picker to allow for greater flexibility. (also making way for future features)
Added date scroll arrows to graphic calendar.
Added date to graphic calendar.
Added shadow backdrop to events.
Added “Previous Appointment” and Next “Appointment” to graphic calendar.

AWD System (Add Warranty Detail) system
Added the “Pull From Inventory” check box also found in the ARD. The default is true (ticked) but whenever you don’t want an item that is normally handled by the ICS, you can now un-tick the box and the ICS will ignore it.

Transfer / Duplicate Estimate System
Changed the default option from “Transfer” to “Duplicate”. This allows for a safer default…. :-)

Message Center
This was a very neglected system created several years ago that never really went anywhere. That’s history… The Message Center (Ctrl – M) has undergone a complete makeover both in look and function. Think of the Message Center as a call taker note pad. Simply a place where you can record information for a later time. Please feel free to make request on improvements. :-)

New & Improved Features Version 4 (build 8.55)

Doc. Link System:
2 step (name link and press button) direct document acquisition system. Now ServiceXp Pro can control the entire process of scanning documents into the Link system.

With use of a TWAIN compliant device ServiceXp Pro will:

1) Scan the document(s) (Automatic Document Feeders Supported)
2) Combine multiple documents in to a single .PDF or TIFF file. (also supports .bmp and .jpg single document formats)
3) Create the customers directory folder (the base default directory is “C:\Program Files\ServiceXP\Document Links” which can be change in Settings >> Operational Tab >> System Settings”) where the document(s) are going to be stored.
4) Name the document (the name you entered before acquiring the document)
5) Create and name the link in ServiceXp Pro.
6) Open the newly created document for your inspection.

RGB Color, Greyscale or Black/White options.
Selectable acquisition resolution.

PO Manager:
Changed the way Quick Orders are processed. Previously, all items showing in the “Un-Assigned” detail frame must be included in the quick order. This meant that if there were parts that you did not want to order with that vendor, you would have to either create a P&A order and collect the parts you did not want to order to that PO, or remove them from the manager all together.

Now the PO Manager will only apply “Marked” items on the quick order. This will allow you to create Quick Orders one right after the other, with much less hassle.

Vendor Returns:
When using the Vendor Return system from the Inventory Navigator, with a selected inventory item, the system will load the return window automatically.

Corrected misc. bugs that came in over the last couple of weeks.

Customer Screens
1) Created Note Popup Option. You can now choose to have customer notes popup so as to grab the users attention.
2) Add resizing to Customer Note Popup.

Inventory – Reverse Search
1) Added resizing and position system to the results windows.

Search History (shift + F11)
1) Improved the Search History system to store the last 75 searches, and persists between sessions.
2) Also sorted the most recent searches to the top of the list box.

Rewrote the error handling system.

Advertising Sentry
1) Added a referral indicator to the Ad Navigator, which is used by the Ad Sentry. Whenever a users selects an ad that is indicated as a referral, the user will now be able to select the customer where the referral came from. This can be used for easly fulfilling special incentives that may be offered.

1) Added UNC path operator system to the image links.

Web Submission system
1) Improved the customer match logic.

Other misc. improvements that came in from users of the last few weeks..

Bugs Smashed…..
1) Found and fixed a registration bug. Some users, on a new install of the ServiceXp Pro demo evaluation would encounter a “limit reached” error, which would not allow them to move further…
2) Corrected a bug found in the rptNARDA3 report.
3) Corrected several bug in the Statement Navigator system.

Bugs still lurking….
Somewhere deep in the 650K lines of code, there is an programming error that does not properly close some object that is causing ServiceXp Pro not to cleanup behind itself. The result is under the process (Ctrl + Alt + Del) tab, you may find a “MSACCESS.EXE” process still running even though ServiceXp Pro is closed.

Until I find this very allusive mistake, if you have a problem backing up ServiceXp Pro’s datafiles, look and see if the above process is running when ServiceXp is shut down, If it is, right click on the “MSACCESS.EXE” process and “end task” it.

New & Improved Features Version 4 (build 7.73)

The latest…..

Statement Navigator:
Completely rewrote the engine for the Statement Generation System. Among other enhancements, the system is MUCH faster now, and also allows for selected re-calculation without re-calculating the entire AR system.

Created Double Click method for customer last name to open AR Details

I have added the same field positioning system as in the other navigators. So now when you move and re-arrange the field, change the font, or color, the system will remember those choices.

AR Navigator:
Reconfigured the memo (credit / debit) handling system, in that now you can pick multiple memos to handle at once.

Added a new Refund system, that allows for both monetary refunds and part returned or both back into the system.

Quick POS:
New streamlined POS system.

PO Manager:
Added font color option for the labels in the gray box areas on the PO Manager. The setting can be found >> Maintenance >> Program Settings >> Operational Info. Tab >> Other Settings Tab >> “SysPOManagerFontColor”

Customer Windows:
Added Phone Ext fields for phone 1 and phone 4

Implemented a Shift + D key combination on the search button to automatically load the first listed customer in the search results.

Link System:
Added the ability to delete not only the link, but also the underlining document in one easy step.

ARD System:
Added a “Pull From Inventory” check box. The default is true (ticked) but whenever you don’t want an item that is normally handled by the ICS, you can now un-tick the box and the ICS will ignore it.

Core System:
Added system wide cursor positioning system. Options are Entire Field, Start of Field, or End of Field

Added Zip Codes to the import and export system. Please note the correct file structure for importation.

Advertising Sentry:
Added a completely new Advertising Sentry. This will force your office staff to answer the question “how did you find the number to call us today”. The system is turned off by default. You can turn it on or off any time by navigating to Program Settings >> Operation Info. Tab >> Other Settings Tab >> SysUseAdSentry.

Along with the basic ad information, the Sentry also records the user name of the data entry personal, the repair number (work order number), date recorded, etc. This information will help you better analyze where your customers are getting your number, the services that they are ordering, and what time of year they are placing those calls. You should also be able to derive total income from each of your ads (future report).

Internal Reports:
Add a new NARDA report ‘rptNARDA3’ which has new company info., part serial numbers, and warranty provider fields.

New Detailed Advertisement Log Report

Shipment Navigator:
Add resizing code to the Shipment Navigator,

Graphic Scheduler:
Added a History button to the View Customers Complaints window.

Added right click function ‘Tech. Contact Info.” This display the basic contact information for that tech.

Window Startup:
Added ‘New Work Order’ to Startup window choices

New & Improved Features Version 4 (build 6.91)

Now when double clicking on the detail field, you will be given a choice to open either the zoom system or the quick contract template.

Now when ServiceXp detects estimate details, the system will automatically moves to that tab.

New Work Order System.
Request Type for the Call Type Sentry can be selected by using the Enter Key.

New user selectable data sentry. This will allow you to turn off the data input Sentry. NOTE: Turning the sentry off, can leave your database full of holes and missing information if you are not very careful. The only field that is 100% required is the Last Name field. You can find this setting under the maintenance >> Program Settings >> Operational Info >> Other Settings >> “SysSkipWOValidation”

Inventory System
Added auto dropdown box for manufacture field for the Edit Window.

Added Photo functions to Inventory Edit Window.

When a photo is set for an item, the button font will turn red.

Window Startup
You can now select up to 4 windows to open automatically when ServiceXp Pro Starts up, you can find these settings under the maintenance >> windows startup menu item’s

Warranty Navigator

Bugs and Such…
Corrected a problem with the split function, where the amount deducted from the wrong item in the list.

Corrected other small bugs and errors.

New & Improved Features Version 4 (build 6.75)

Estimate History Navigator
Completely new Estimate History Navigator. You can now view all estimates / quotes in one easy to read navigator.

Estimate Transfer System
With the new Estimate History Navigator, I have added a system to duplicate or transfer an estimate from one work order to another. The system works in any direction. You can duplicate previous estimates from past history, or between to current work orders, it can even go backwards (not sure why you would want to though.. :-) )

Internet Search System
Not sure what to really call this at the moment, but the system allows for model number and part lookup from the web. Currently only the Sears site is included, but other may follow at a later date.

Inventory Search

You can, from the Graphic Schedule, right click and select “view equipment and complaint”. If not already present enter the model number and click on the small button to the right. From there you will be directed to the Sears web site identifying (if found) all the breakdown information for that unit.

You can also select “Internet Lookup” from the Tech System and or Inventory Menus. When selecting Model for the search type, the drop down down box will fill with all the unit M#’s that you have service in the past. When selecting Part for the search type, the drop down box will fill with your inventory list.

New licensing & Support Structure

I am moving to a different licensing structure which will significantly reduce the cost of ServiceXp, especially for the smaller service shops. Currently licensing is company wide, and can be used simultaneously by any number of users. This new licensing structure will be ‘user’ based, and thus each user will need there own license. All current users will be required to upgrade there license key if upgrading to the latest service Patch (build 6.75).

With this change the upgrade and support options will also change, thus reducing the cost even further.
1) Currently there is a 30 DAY money back guarantee, which will end with all new purchases. The full ServiceXp Pro package can now be evaluated for 30 days, before purchase.

2) Currently there is a one year, full access support / upgrade structure in place. This will also end with all new purchases. The new license will only cover defect service packs and technical support for 30 days. (additional support can be purchased.) Current users who’s support block has not expired will not be effected by the new support structure. However any future support will require a new license key.

So BEFORE upgrading, please contact me with your full company name and current license key.

New & Improved Features Version 4 (build 6.63)

Inventory Nav. Qty On Order field double click
Now the Inventory Nav’s “Qty On Order” field has the same functionality that it does for the Request Nav. You can now double click in the field to open up the current PO information. The system automatically drills down to the parts details, but you can click on the “View PO” button to view the PO details.

Warranty Claim Nav Claim Notes
There is now a notation system for warranty claims. This allows you to make and recall information pertaining to the claim payment and processing life. When notes are found for a selected claim the button text will turn red.

Vendor Returns Tracking Number Field
I failed to mention on a previous update, there is now a Tracking Number field to enter the carriers shipment tracking number for parts returning to vendors.

Bugs Fixed
Found and fixed a bug in the same system, where on some machines the user would encounter an error when double clicking in the field. Fixed.

Found and fixed a bug in the field zoom system. When opening certain data sets, the code would error and leave the field empty.
